JOB DESCRIPTION

Sheng Hong Arts Institute is seeking a dynamic and highly organized Administrative Executive to join our team. The ideal candidate will be proficient in Chinese and English to handle Chinese-speaking customers, possess excellent communication skills, and demonstrate strong attention to detail. The Administrative Executive will play a crucial role in supporting the institute’s operations and ensuring smooth administrative processes.

QUALIFICATIONS

  • Diploma or Bachelor’s degree in Business Administration, Management, or a related field.
  • Fluent in both Chinese and English, with excellent written and verbal communication skills to handle Chinese-speaking customers.
  • Strong organizational skills and attention to detail.
  • Proficient in Microsoft Office Suite and other relevant software applications.
  • Ability to work independently and collaboratively in a fast-paced environment.Prior experience in administrative roles, preferably in an educational or arts-related setting, is an advantage.

Responsibilities:

Minutes of the Meeting:

  • Record accurate minutes of meetings in both Chinese and English.
  • Ensure timely distribution and documentation of meeting minutes to relevant stakeholders.

Student Recruitment and Tuition Fee Collection:

  • Assist in student recruitment activities, including outreach programs and admissions processes.
  • Manage tuition fee collection and maintain accurate records of payments.

Calculation of Teacher Teaching Fees:

  • Calculate and process teacher teaching fees per institute policies and guidelines.
  • Coordinate with relevant departments to ensure timely and accurate disbursement of payments.

Correspondence Handling:

  • Manage incoming and outgoing correspondence, including letters, emails, and phone calls.
  • Respond to inquiries and requests in a professional and timely manner.
  • Maintain organized electronic and physical filing systems.

Management of Dance Clothing, Musical Instruments, and Supplies:

  • Oversee inventory management of dance clothing, musical instruments, and supplies.
  • Coordinate procurement activities and ensure adequate stock levels.Monitor usage and handle repairs or replacements as needed.
