Job Title: Admin Executive
Job Summary: We are seeking a highly organized and proactive Admin Executive to join our team. The Admin Executive will play a critical role in ensuring the smooth and efficient operation of our administrative functions. This position involves a wide range of administrative tasks, from managing office supplies to coordinating meetings and providing support to various departments. The ideal candidate should possess strong organizational skills, attention to detail, and the ability to handle a variety of tasks effectively.
Responsibilities:
- Manage and maintain office supplies, equipment, and facilities to ensure a clean and functional workspace.
- Coordinate and schedule meetings, appointments, and conferences for executives and team members.
- Handle phone calls, emails, and correspondence, and direct them to the appropriate individuals or departments.
- Assist in the preparation and distribution of internal and external communications, reports, and documents.
- Provide administrative support to various departments, such as HR, finance, and marketing, as needed.
- Maintain and update company records and databases, ensuring accuracy and confidentiality.
- Process and track invoices, expense reports, and purchase orders.
- Assist in travel arrangements, including booking flights, accommodations, and itineraries.
- Manage and organize filing systems and records, both digital and physical.
- Coordinate with external vendors and service providers for office maintenance and repairs.
- Assist in the onboarding of new employees and provide support in orientation programs.
- Help plan and execute company events and activities.
- Handle ad-hoc administrative tasks and projects as assigned by management.
Requirements:
- Bachelor’s degree in business administration, office management, or a related field is preferred. Relevant work experience may be considered in lieu of a degree.
- Proven experience as an Admin Executive or in a similar administrative role.
- Strong proficiency in Microsoft Office suite (Word, Excel, PowerPoint, and Outlook).
- Excellent organizational and time-management skills.
- Strong attention to detail and the ability to manage multiple tasks simultaneously.
- Exceptional communication skills, both written and verbal.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- A positive and proactive attitude, with a willingness to assist in various tasks as needed.
- Ability to work independently and as part of a team.
- Knowledge of office management systems and procedures.
- Problem-solving skills and the ability to find efficient solutions to administrative challenges.
- Flexibility and adaptability to changing work demands.
- Previous experience in administrative or secretarial support is a plus.
