Description:
An opportunity has arisen for an enthusiastic individual to join our ‘outstanding’ team as a Band 3 admin support within the Department of Critical Care follow up service. The successful applicants will assist in clerical duties surrounding the follow up clinics.
Hours: 4.125 per week
The post holders will be integral to the smooth running of the clinics. You will work and communicate effectively with the multi-disciplinary team involved in the follow up clinics to help facilitate a positive patient experience. You will work closely with the band 4 and actively be involved with the organising of clinic lists and communications to and from patients attending the clinic utilising the appointment system. Providing them with clinic appointment letters and venue information. Ensuring communication of attendance to the team. Preparation for the clinics will be a large proportion of your time, pulling of medical notes, printing materials such as leaflets, questionnaires, templates for the stations and patient summaries.
One member of the admin team will be required to attend the clinic to greet and book the patients in using Trak, they will then stay and attend the MDT meeting to note take to support the writing of the patient and GP letters. You will also receive notes and dictation from members of the MDT to support this. Referrals need to be made as requested and a record of these will need to be kept digitally to support reports.
Data collection will be essential to this role and this will be supported by the band 4.

- Effective communication skills across all disciplines of staff, patients and public
- Knowledge and understanding of confidentiality and data protection in accordance with trust policy and procedures
- Able to communicate effectively, and act appropriately and quickly in an emergency
- Experience in using a PC to develop skills for Electronic Patient Records
- Experience of Trakcare to ensure that tasks can be undertaken according to Trust policy and national standards
- Knowledge and understanding of the Trust, including a basic knowledge of roles in other areas
- Some knowledge of specialty terminology
- Demonstrate excellent customer care skills.
- Receive queries, both in person and on the telephone and manage appropriately
- Obtain notes, in routine situations, ensuring clinical staff have access to essential information in a timely fashion
- Tracing all notes in and out, to ensure notes can be obtained from anywhere at any time in case of clinical need, maintaining data protection and confidentiality according to Trust protocol and procedure
- Accurate input of patient details on Trakcare system, ensuring follow up appointments and procedures have been booked to meet Trust and national requirements
- Safeguarding of all patients
- Follow Trust Infection Prevention and Control Policies, within the scope of own role
- Adherence to the latest Trust Policy on Uniform and Dress Code Standards
