Description:

The Milner Group, a locally owned Nanaimo company, is seeking a motivated individual needed for the role of a fulltime Administration and Dispatch support. The successful individual must be accurate, have strong attention to detail, communicate well, and have good organizational skills. In addition, this individual should have an analytical mind, and always be looking for improvements and efficiencies. Please note this is a very fast-paced environment.
Salary: $50k - $65k/year – based on experience

POSITION REQUIREMENTS:

  • 3-5 years’ experience in a customer service role
  • 1-3 years experience short-haul truck dispatching, preferred
  • Business Related University Degree or Diploma, preferred
  • Proficient with Microsoft Office
  • Ability to adapt quickly to new systems, QuickBooks experience desirable
  • Analytical and detail-oriented
  • Ability to meet deadlines and adapt to changing priorities
  • Strong organizational and time management skills
  • Team-oriented, positive attitude and strong communication skills
  • Strong customer service skills
  • Civil Construction knowledge would be an asset

Responsibilities:

MAIN RESPONSIBILITIES -ADMINISTRATION:

  • Order entry and payment entry for calls taken for all companies

o Partner with dispatch about asbestos bins

  • Entry, scheduling and tracking all toilet and fencing rentals

o Updating appropriate tracking spreadsheets
o Monitoring and signing off on toilet/bill payments

o Corresponding with toilet provider for drop offs and pickups

  • Preparing envelopes for items that need mailing
  • Take credit card bill payments from customers
  • Disposal Slip review
  • Monitor supply levels and order office supplies for office, scale house and shop supplies once per week
  • Daily billing review
  • Truck production reports
  • Answer phones, utilizing multiple phone line system
  • Support and cover Dispatch when required

MAIN RESPONSIBILITIES - DISPATCH:

  • Assist with scheduling and dispatching of container bins, RDN and other appointments/manifests
  • Coordinating with Milner Recycling – Bins/Garbage/Material/Hauling
  • Coordinating with Shop – truck servicing/moves – including coordination to get drivers to and from the shop
  • Coordinating with job superintendents – equipment moves/bins/material
  • Coordinate site fueling
  • Pit activity coordination
  • Coordinate hired trucks
  • Create special hauling permits for oversize/unique loads as required
  • Review completed jobs in CRO, check for photos and slips to ensure complete and accurate
