Description:

We are looking for an Administration Assistant to join our Account Office (AO). The AO works across several high-profile Accounts to provide essential administrative and logistical support. The responsibilities of this team are wide ranging and encompass the activities required to keep an active Account functioning in an organised and consistent way.
Working as part of the AO team, this role requires 3 days on-site working in Cheltenham.

Responsibilities:

  • Supporting the AO Manager in a team environment
  • Working with the AO team to provide general assistance, support, and direction across the account.
  • General administrative duties such as room booking, distributing information, and ordering branded stock.
  • Monitoring and responding to emails received in various shared mailboxes.
  • Meeting minute taking and arranging meetings
  • Provide assistance to staff with OTL – timecard booking.
  • Pull timecard reports and transpose in to excel.
  • Manage the timecard reports in agreement with the resource lead.
  • Processing leavers and joiners, updating document templates and ensuring they are consistent, updating organisational charts and other account documents.
  • Distributing Process Reviews for sign off.
  • Creating projects in corporate systems (SAFE)
  • Receiving and verifying PO’s
  • Requesting monthly invoices
