Role responsibilities
- Provide high quality confidential administrative and secretarial support to the Health Security Department to ensure its efficient operation as a high performing team.
- Manage enquiries effectively through intercepting, screening and redirecting as appropriate.
- Liaise with a wide range of patients, visitors, staff, and external agencies as directed on behalf of the Health Security Department.
- Examine, prioritise and determine action of incoming correspondence, including email, written correspondence and reports.
- Maintain an effective office record system of confidential documents, papers, internal correspondence, personnel files, management of computerised data and archiving.
- Access and use a wide range of systems and electronic applications relevant to the Health Service such as Cardax, Security Database, RMS, S4HANA, Winc, MS Office (Outlook, SharePoint, Word & Excel).
- Monitoring of facility electronic security measures including staff/visitor identification, electronic swipe access cards, staff vehicle parking permissions.
- Participate in the development, implementation, review and maintenance of internal systems, processes and work practices. Identify and report areas for improvement to existing practices. Actively participate in a working environment supporting quality human resource management practices including employment equity, anti-discrimination, occupational health and safety, and ethical behaviour.

- Fixed Term temporary full-time, 24/06/2024 - 29/06/2025

- Salary rates between $2864.10 - $3185.10 p.f. (AO3)

Role requirements
- Previous experience in a security administration position is not essential but may be considered favourably.

The ideal applicant will be someone who has proven ability and can demonstrate the following:
- Delivery of high-quality administrative and secretarial support at a management and project level including all aspects of secretariat support for meetings.
- Sound organisational skills with the ability to problem solve and plan/prioritise workloads with competing deadlines, whilst working autonomously.
- High level interpersonal written and oral communication skills, including the ability to consult and develop collaborative working relationships.
- Strong skillsets in the use of Microsoft Office (Outlook, Word, Excel, Sharepoint etc), and applications relevant to Health Security such as Cardax, Security Database, RMS, S4HANA and myHR.
- Ability to actively participate in a working environment to support quality human resource management practices including employment equity, anti-discrimination, occupational health and safety and ethical behaviour.
