About Us
Western Private Hospital (WPH), is a boutique private hospital servicing the West of Melbourne with the provision of acute services, which has 62 inpatient beds.
WPH’s facilities include four Operating Theatres, CSSD, Day Procedure Unit, Cardiac Unit, Overnight Ward for Surgical, CCU & HDU patients, Cardiac Catheter Laboratory, Day Oncology Unit, Specialist Consulting Suites, Nuclear Medicine/PET Centre and supported by pathology, pharmacy, radiology and radiation therapy services.

About the Role
We are looking for an Administration Officer to fulfil the role of Ward Clerk / Cardiac Bookings to support our progressive and dynamic Marion Ward which comprises 26 overnight beds, inc HDU and Cardiac Unit.
Both the Marion Ward and Cardiac Units function within a collaborative teamwork environment. The shared goal is the delivery of high-quality patient focused care. Working closely with Nursing, Medical, Allied Health & Support Services staff, you will be a key member in supporting the smooth day-to-day running of the ward by coordinating the physical and telecommunication traffic throughout the area, ensuring accurate data transmission of patient movements.
This is a permanent full-time position working 5 days a week across Monday to Friday generally between the hours of 7am-3pm or 8am-4pm depending on operational requirements.

REQUIREMENTS:

Everyone who joins Western Private Hospital –
Must be vaccinated against COVID-19, Influenza and provide proof of immunisation against, or immunity to, infectious diseases as required per the Health Services Act 1988 (Vic) – NOTE: for this role immunisation requirements associated with Risk Category C (minimal patient contact) – 3 X COVID + current year Influenza
Must provide a National Police Check conducted within the previous 6 months and evidence of Australian Residency / Full Working Rights

Responsibilities:

Meeting and greeting patients, staff, doctors and all visitors in a professional and courteous manner as the first point of call for anyone arriving to the Marion Ward
Providing pre-admission, admission and discharge services
Processing cardiac bookings and billings for the Cardiac Catheter Laboratory
Ensuring smooth preparation of cardiac lists inc cancellations/additions; liaising with Doctors and their Practice Managers / Secretaries, and the administration and pre-admission / hospital access team
Data entry of MBS item numbers performed and prosthesis billings sheets
Ensuring accurate patient & doctor details are maintained in the patient management system
Medical record management including compiling, filing of discharged patients’ notes and follow-up of outstanding medication charts and discharge summaries
Managing the collections of excesses and co-payments
Providing clerical & administrative support duties to the Nurse Unit Managers of the Overnight Ward and Cardiac Unit – inc. mail distribution, data entry of workhours, assisting with bookings & cancelling of nursing staff, organising department meetings, etc
About You
To succeed in this role, you will you will be an enthusiastic individual with a passion for customer service and enjoys being part of a busy environment. The ability to converse and be empathetic while managing a busy flow of admissions and discharges is a key skill needed for this role. You will have strong communication and interpersonal skills and should be comfortable working in a team of nurses, doctors, nurses, administrators and other allied health professionals and support services staff.
Selection Criteria
Experience in a healthcare setting working in similar role (private hospital experience preferred)
Demonstrated excellence in customer service with outstanding interpersonal and communication skills
Professional presentation, style and manner
Strong MS Office skills using Word, Excel, Outlook inc monitoring multiple emails
Meticulous attention to detail when handling patient data with high levels of accuracy
Demonstrated ability to work independently, flexibly and cooperatively as part of a team
Team player, self-directed and motivated with highly developed time management and organisational skills and the ability to prioritise tasks, be responsive and meet deadlines in a busy, changing and demanding environment
Experience in hospital mainframe system – WebPAS (Desirable)
Knowledge of medical terminology and MBS item numbers (Desirable)
Understanding of Private Health Fund contracts including eligibility checks and patient Informed Financial Consent (Desirable)
