Amentum has an exciting opportunity for a full-time Administration Support Officer to join their team in Alice Springs, NT - Australia.

EXPERIENCE – MINIMUM ESSENTIAL

  • 1 – 2 years’ experience in administration management and/or executive support. High level communication skills, detail orientation and the preparation of documents are critical to successful performance.

Responsibilities:

THE ROLE

Reporting to the Program Administrator, the Administration Support Officer (ASO) provides administrative and customer service support to all departments within the Vesta Program, ensuring efficient and timely administrative support is provided to the program management office and the work area team leads. The role is directly responsible for providing support to the program in the areas of calendar management, customer service, data entry and administrative support services.

RESPONSIBILITIES/DUTIES

  • Oversee day-to-day administrative tasks such as answering the phone, drafting emails and correspondence, taking meeting minutes, creating reports and processing various financial payments to include utilities and rates.
  • Provide professional customer service, promoting a positive approach when assisting both internal and external stakeholders. Act as the first point of contact for the program, always providing exceptional customer service.
  • Providing efficient and confidential administrative support to all departments within the Vesta program as directed by the Program Administrator.
  • Responsible for the management of applicable administrative processes and databases, including key distribution to staff, subcontractors and tenants.
  • Provide SAP support to all departments within the Program (create/close work orders, purchase requests, functional locations/classifications, tenant tracking, equipment records, reporting functions, etc.)
  • Attend the TQ Office at JDFPG and provide assistance to customers as required.
  • Maintain relevant distribution lists and complete weekly tracking spreadsheets as directed by the Program Administrator. Assist with the program document library, including the review of policies and procedures.
  • Manage the program calendars across multiple systems, scheduling meetings, appointments and inspections. Oversee room bookings and provide support to department team leads as required.
  • Ensure compliance with all environmental health and safety requirements.
  • Any other reasonable duties as requested.
