The Administrative Assistant facilitates the efficient operation of the assigned program by performing a variety of clerical and administrative tasks under direct supervision. Maintain accurate office records and data. Interact with staff and public.

How will I contribute

  • Provide clerical/administrative/reception support.
  • Performs data entry and typing functions proficiently.
  • Provide supportive assistance in managed care duties, including tracking data.
  • Maintain records, i.e., administrative, consumer, etc.
  • Answer phone calls and schedule appointments.
  • Complete and maintain comprehensive tracking of Quality Improvement activities and reports.
  • Manage a working supply of printed and copied agency forms, brochures, and informing materials; ensure print quality, readability, and accuracy of the information.
  • Demonstrate competency in use of Kings View’s electronic health record system (Credible) and Microsoft Office components (i.e., Word, Outlook, Excel, PowerPoint, Teams, etc.).
  • While performing job duties, follow all Kings View policies and procedures, administrative directives, all relevant county, state, and federal regulations.
  • Communicate openly and clearly, on a regular basis, with staff and management to ensure Program effectiveness.
  • As time allows, provide support to Clinical Director and Program Director.
  • Any other related duties that may be assigned.

What I bring

  • High School Diploma (or Equivalent)
  • 1+ years of experience working in an administrative/support role.
  • Bilingual English/Spanish both verbal and written Required
  • Class C Driving License
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Proficient in Microsoft Office Suite or related software. Typing and/or 10-key.
  • Excellent organizational skills and attention to detail. Ability to work in a fast-paced environment and to organize work in an appropriate sequential order. Excellent verbal and written communication skills. Ability to work independently
  • Maintain professionalism and work with other staff to ensure timely completion of assigned duties. Excellent interpersonal and customer service skills.
