Qualifications:

  • Executive assistant diploma

KNOWLEDGE, SKILLS & EXPERIENCE:

  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
  • Experience working with contracting and purchasing tools (ie SAP)
  • Strong verbal and written communications skills in both English and German
  • Strong organizational skills with the ability to multi-task.
  • Exceptional customer service skills, over the phone and in person.
  • Ability to work independently and in a pro-active manner, showing willingness to operate in a fast-paced environment with considerable ambiguity.
  • Learning agility and ‘scalability’ to take on increasing responsibility as Advanz Pharma grows

  • Proven experience as an administrative assistant.
  • Previous experience within the Pharmaceutical Industry is mandatory

Responsibilities:

ABOUT THE ROLE

The Administrative Assistant will perform a variety of administrative and clerical tasks, including providing support to the RVP and the commercial and medical teams, working closely with the Executive Admin Assistant as well as assisting in daily office needs. The ideal individual will have strong written and verbal communication skills, as well as administrative and organizational ability, being able to maintain a balance among multiple priorities. This role must be able to work proactively on simultaneous projects, from conception to completion.

WHAT YOU’LL DO:

  • Hybrid role
  • Preferably experience and knowledge of Austria/CH culture
  • Preferably pharma experience
  • Coordination of field meetings (HCP contract signature – payment)
  • Manage the field & medical budget
  • Coordinate HCP contracts for the medical and marketing activities
  • Execute timely completion of projects: preparation of contracts and purchase requests, follow up of actions items and filing / tracking
  • Maintain the existing activity tracker / filing system
  • Be acquainted with office policies and procedures, making sure we comply
  • Submit and reconcile invoices
  • Ability to work in a high pressured environment
  • Act as the point of contact for internal and external clients
  • Ability to develop and implement administrative systems and procedures, using information and communication technology
  • Work closely with Executive Assistant DACH
  • Drive the spirit of “ONE Team” across all functions by supporting a team approach to focus on our patients and customers as our top priorities
