Job Description

Experience in any of the following tools and applications would be advantageous but not essential

  • Coupa – Raising PO’s for use with the VCA (Virtual Credit Card), placing orders
  • Oracle – for timesheets and expenses
  • Smartway – for booking desks and meeting rooms
  • Bluepoint - for booking guests into the building
  • MarkView – for approving invoices
  • FCM – for booking trave

Responsibilities:

  • Creating documents in Word, Excel & PowerPoint with associated up to date branding, reformatting of documents.
  • Proficient in Outlook / Teams / Sharepoint
  • Diary Management
  • Assisting with new starter procedures.
  • Coupa Ordering System (ordering PPE, IT equipment, etc).
  • Invoicing
  • Arranging business travel/accommodation and car hire through FCM
  • Monthly updating of Salesforce
  • Updating all staff CVs and profiles for bids
  • Providing support with arranging internal/external events
  • Providing administrative support to one or more managers within a group, office or business unit including some of or all of the following: prepares or proofs correspondence, forms, spreadsheets, or documents, schedules meetings, makes travel arrangements, and/or maintains inventory of office supplies.
  • Familiar with standard concepts, practices, and procedures within a particular field.
  • Relies on experience and judgment to plan and accomplish goals.
