The Sacramento County Airport System is owned and operated by the County of Sacramento and is responsible for operations and maintenance at four airports in the County including Sacramento International Airport (SMF). SMF is a medium-sized commercial airport that is positioned to grow as airlines continue to connect into the Sacramento Valley Region. Anser Advisory is providing Executive Program Management Services for the delivery of the Airport’s large $1.3B SMForward Program. Working with the Sacramento Department of Airports, Anser Advisory offer a collaborative, team working environment and foster a culture of excellent customer service. In this fast-paced and dynamic environment, team members work together to deliver new projects for airport users and airlines.
Anser Advisory is inviting qualified candidates to apply for an opening for the position of Administrative Assistant. Ideal candidates have construction project experience and are excited about a career in aviation. This position will work as integrated staff with the Department of Planning and Development at SMF. The Department of Planning and Development oversees all Project Management functions, and works with design teams, contractors, and airport users to deliver maintenance projects and new development projects. This is an exciting time to be part of the Anser Advisory team as the Airport embarks upon new projects over the next 5 years!

QUALIFICATION REQUIREMENTS

  • Must be able to work Monday to Friday 8:00 am-5:00 pm
  • High school diploma or equivalent
  • Ability to proofread documents for grammar and spelling
  • Ability to work in a team environment
  • Experience working in PMIS systems such as Unifier, Procore, Kahua, or other equivalent system
  • Multi-tasking skills and ability to organize workload while still maintaining attention to detail
  • Strong customer service, interpersonal and communication skills
  • Reliable, responsible, and dependable
  • Ability to lift 20 pounds
  • Ability to transcribe dictated material

DESIRED QUALIFICATIONS

  • Some college education or AA degree is preferred
  • 6-years working experience in the construction industry
  • Experience working on alternative project delivery including CMAR, Design Build, or Progressive Design Build
  • Prior experience working in the Aviation market sector

Responsibilities:

  • Oversee administrative needs for a team of program managers and project managers to develop management procedures, coordinate with various Airport and County Agencies along with selected design and construction contractors
  • Perform a variety of routine and non-routine administrative clerical and data collection tasks for supervisor and project team members
  • Perform various administrative, clerical, data collection, data entry and report writing tasks
  • Prepare letters, reports, memos, and other documents using Microsoft Word, Excel, and PowerPoint
  • Gather statistics and general data; review and combine this information into established reports for use internally
  • Monitor and coordinate project communications and work flow processes in Project Management Information Software (PMIS)
  • Scan, fax and bind documents, reports and proposals as required
  • May develop new reports or revise existing reports as directed. Such reports may be in spreadsheet or graphical formats or narrative-style word processing
  • Originate correspondence and reports not requiring the personal attention of immediate supervisor
  • Prepare general correspondence and maintains general files
  • Answer telephone, take and relay messages screen callers and direct calls accordingly
  • Receive, sort, and distribute mail
  • May establish and maintain records of equipment including a log of equipment service dates
  • May initiate requests for service
  • May coordinate physical space requirements for the program team. Initiates requests for computers and telephones as appropriate
  • May periodically prepare an occupancy report by project or gather information to complete staffing reports as directed by immediate supervisor
  • Maintain an organized workspace by keeping documents and supplies properly stored
  • May represent immediate supervisor at project-related or other meetings as directed
  • Contribute to the advancement of project delivery goals through commitment to productive collaboration with all stakeholders
  • Exhibits polite and professional communication via phone, e-mail, mail.
  • Set up events and meetings
