Arco LLC is a Design and Build firm that executes architecturally driven projects while maintaining an unshakeable focus on high quality craftsmanship. Our team merges the visions and inputs of architects, engineers and designers, thereby producing a balanced approach to meet our client?s primary design ideas, needs and budget.
We are hiring a full-time Administrative Assistant who will be responsible for the day-to-day legal & administrative support of construction projects. This position is Monday through Friday, 9:00 AM ? 5:00 PM.

CORE SKILLS, COMPETENCIES, AND CHARACTERISTICS:

  • Familiarity with legal terminology and processes related to real estate transactions
  • Proven ability to handle administrative tasks efficiently and accurately, with excellent attention to detail.
  • Prior experience in the real estate sector, even in an administrative capacity, is preferred.
  • Capable of working independently to manage tasks and responsibilities, while also being a collaborative team player.

Responsibilities:

  • Maintain files, schedule meetings, prepare legal papers and correspondence.
  • Collaborate with project managers in the preparation of subcontractor agreements, ensuring accuracy and compliance with legal requirements.
  • Verify subcontractor insurance documentation to ensure compliance with contractual obligations.
  • Provide administrative assistance throughout the acquisition and sale processes, including document preparation, scheduling, and communication with relevant parties.
  • Assist in administrative tasks related to various legal matters, such as claims, subcontractors, or other entities.
  • Administers all condominium associations, managing common area items and facilitating homeowner communication with a focus on customer service,
  • Assist with creating new LLCs as needed, obtains EIN, certificate of organization, drafts operating agreements, and files annual reports and/or certificates of good standing.
  • Follows up on punch list & warranty items
  • Transcribing meeting notes, maintain documentation, and understanding scheduling within the scope of administrative duties
  • Keeps track of documentation, including but not limited to bills, invoices, proof of payments, and condominium fees.
  • Maintains and updates the REO document along with the Transaction Manager.
  • Review documents and agreements from ARCO and/or Dreamcasa, confirming adherence to applicable laws, company policies, and internal protocols.
  • Coordinate miscellaneous tasks such as errands, check deposits, and appointment scheduling.
