DESIRABLE QUALIFICATIONS/EXPERIENCE

  • Should be proficient in or be able to learn: Concur (for travel and expense management), SharePoint, MS Teams and Ariba (office supplies).
  • Working in a highly matrixed global organisation.
    Successful candidates require Australian Citizenship status and must be able to hold and maintain an Australian Defence Security Clearance at minimum NV1. Responsibilities:

ROLE OVERVIEW

This position will provide administrative support to employees of Collins Aerospace Australia including multiple leaders and their staff across a wide range of administrative tasking, including travel admin and scheduling, expense report management, office and amenities supply management and various office productivity, meeting, reporting and internet technology responsibilities.

PRIMARY RESPONSIBILITIES:

  • Complete all tasks associated with complex domestic and international travel planning in accordance with travel policies and procedures;
  • Coordinate all logistics for meetings with internal team members and/or external customers, clients/guests, including working with security staff to ensure approved access to site;
  • Maintain digital signage; communicate relevant corporate news and information to team as appropriate
  • Provide administrative support to the organisation. Typical support tasks include scheduling meetings/conference rooms, catering, travel arrangement, expense report preparation, tool support, and other onsite support assistance as needed
  • May prepare materials for departmental meetings or reviews, including reports, documents, presentations, etc.
  • Support tasking related to tracking and/or creating purchase requests, and interfacing with vendors.
  • Order and maintain office supplies and amenities for the site.
  • Act as administrator for department websites and repositories
  • Perform other duties as requested by leadership, including special projects as assigned.
