Description:

We are looking for an Administrative Assistant to join our vibrant and growing company, located in the heart of Uptown Waterloo. Reporting to our Logistics Manager, and working closely with multiple teams in the company, you will be a key member of CoreAVI and play an instrumental role in providing our employees with outstanding administrative support. REQUIRED SKILLS & EXPERIENCE

  • 2-3 years of experience in an Administrative Support role.
  • A strong knowledge of MS Office including Excel, Outlook, and Word.
  • Excel skills – Knowledge of pivot tables, v-lookups, formula creation etc.
  • Word skills – mail merge
  • Ability to maintain confidentiality and discretion.
  • Excellent written and verbal communication skills with the ability to maintain strong working relationships with all levels of the company.
  • Detail orientated with strong organizational and time management skills.
  • Attention to detail and problem-solving skills.
  • Adaptable to change and ready share in our excitement as we scale.

DESIRED SKILLS:

  • Experience with NetSuite and/or M-Files.
  • Experience with international shipping and receiving.

Responsibilities:

  • Managing our Purchase Order System
  • Processing orders through the review process
  • Generating accurate and timely invoices
  • Maintain the company’s digital filing systems, supporting efficient information management.
  • Assist in the preparation of regularly scheduled reports.
  • Implement and maintain procedures/administrative systems.
  • Lead all office operations including with landlord, suppliers, office cleaners, etc.
  • Facilitate company stock option plan with support from legal team.
  • Company shipping and receiving.
  • Participate in ad-hoc projects in support of the company, including meetings and social events.
  • Act as a key ‘keeper of knowledge’, providing great internal customer support for our employees.
  • Continuously foster and cultivate strong CoreAVI culture and values.
