We are seeking a dynamic, highly motivated Administrative Assistant who demonstrates our values of compassion, accountability, responsiveness and empowerment; to our clients, families and each other.
The Administrative Assistant will support the Employment Services program. The focus of the current FEDCAP EO programs is to serve individuals from targeted vulnerable populations that face multiple barriers to employment in their search for sustainable employment, further education, and/or job training opportunities. This is an outcome-based program and the successful candidate will have proven track record of working in a similar environment.
This position is a non-unionized, full-time, permanent position. The rate of pay is $21.43 per hour.

Responsibilities:

  • Open and maintain coverage of the Resources Center (R/I).
  • Monitor the EOIS/EOPG website, FEDCAP websites such as CaMS, FEDCAP CARES, SP Portal, and other program updates on the Ministry of Labor.
  • Contact clients for initial intakes, complete referrals, book appointments, complete initial intakes with clients, and manage staff schedules with clients.
  • Provide support and back-up to the Employment Services Team including staff and client IT support and troubleshooting.
  • Perform reception duties including answering phones, welcoming, and referring visitors/clients to appropriate staff and services.
  • Type correspondence, reports, and other documents required.
  • Open, respond, and distribute mails and emails to appropriate staff and community partners.
  • Take minutes at staff meetings and distribute them as required.
  • File management.
  • Maintain and update information/resource binders employment website, social media, and job boards as required.
  • Assist with the organization and coordination of employment services and agency activities.
  • Liaise with staff to collect, compile, and input data into database systems.
  • Coordinate the ordering of office supplies and repairs to office equipment and facilities.
  • Assist with preparing documents/reports.
  • Work effectively as a team member to provide support and coverage as required.
  • Participate in supervision and consultation regularly.
  • Adhere to the policies and procedures of Wesley and Employment Services.
  • Attend staff meetings and training sessions as required.
  • Report any program or facility deficiencies to the program manager in a timely manner.
  • Maintain and ensure the cleanliness and sanitation of the Resources Centers.
  • Other duties as assigned.
