Description:

An exciting opportunity has arisen for an Administrative Assistant based in our Edinburgh office reporting to the Facilities Supervisor.
This role will be working as part of a team to ensure that the departments mail, copying, files, etc are managed timeously.

Responsibilities:

  • Processing of incoming / outgoing mail, copying, scanning, printing, filing and archiving
  • Supporting and/or managing the preparation of bulk documentation, files, and bundles
  • Using PDF Docs to put legal bundles together, paginating papers and reducing file sizes
  • Providing reception cover and assisting with room set ups/clearing
  • Monitoring stock levels of stationery items and ordering replacement stock as required
  • Making hand deliveries and collections
  • Coordinating matter closure and storage.
  • Processing, retrieval, and management of documents in onsite and offsite storage.
  • Managing electronic client records to facilitate record storage requirements.
  • Assisting with Legal PA duties (including dictation, formatting and amending documents, raising invoices and completing Cashroom forms, etc)
  • Assisting with ad-hoc departmental projects
  • Working effectively and efficiently with other Facilities team members
  • Managing office catering
