Description:

POSITION SCOPE

We are seeking a qualified applicant to fill the position of Administrative Assistant. The role will support and assist with our office’s day-to-day operations by greeting visitors, distributing mail, scheduling meetings, etc.

QUALIFICATIONS & ABILITIES

  • High school diploma or equivalent education required
  • Knowledge of appropriate software, including Microsoft Word, Excel, Outlook, Microsoft PowerPoint, and Adobe Acrobat
  • Pleasant and positive attitude for greeting customers and visitors in a friendly and warm manner
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task

Responsibilities:

  • Provide administrative support to ensure the efficient operation of the office
  • Complete operational requirements by scheduling and assigning administrative projects and expediting work results
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Exhibit polite and professional communication via phone, e-mail, and mail; provide information by answering questions and request
  • Ensure the operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques
  • Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies
  • Schedule meetings and support visitors
  • Manage the phone system including but not limited to: answer all incoming calls with a pleasant manner; screen, handle or refer calls; collect necessary information from called parties to process calls
  • Perform other duties as assigned
