The Role
The Administrative Assistant is a self starter responsible for day to day office functions of Galway Chamber. They thrive in the fast pace of the office, and coordinate and prioritise work so operations are smooth and efficient. They are the first person to greet members, dignitaries and visitors when they visit or call the Chamber. They reply to members’ questions ensuring timely and professional responses. The Administrative Assistant is responsible for hosting daily as required and overseeing the Chamber meeting space.
Key responsibilities:General Office Operations:
Perform front-line reception duties, including answering phone calls, receiving visitors, and managing the general email inbox.
Manage and coordinate the internal events calendar, meeting room bookings, facility setups, and associated catering requirements, and including invoicing.
Maintain office supplies and coordinate the management, maintenance, and upkeep of office facilities and equipment.
Handle mail collation and distribution.
Create and maintain efficient filing systems, both electronic and physical, to ensure easy access for staff.
Provide comprehensive administrative support to the CEO, the President, and the Board of Directors, including scheduling and document preparation.
Prepare and edit various forms of communication such as emails, reports, invoices, and other correspondence.
