Job Description

We are looking for a detail-oriented and organized Administrative Assistant to provide essential support to our Health and Safety advisors. The ideal candidate will play a crucial role in ensuring the smooth and efficient functioning of administrative tasks, allowing the team to focus on promoting a culture of safety within the organization. Your efforts will directly contribute to the well-being of our workforce and the overall success of our operations.

QUALIFICATIONS

  • Education as an Administrative Assistant or equivalent diploma/degree.
  • Previous experience in an administrative role, preferably in a health and safety environment.
  • Proficiency using Microsoft 365 including Sharepoint.
  • Site Docs experience is an asset.
  • Knowledge of health and safety regulations and practices is an asset.
  • Strong organizational skills and the ability to multitask and prioritize tasks effectively.
  • Possess a high level of integrity and confidentiality.
  • Strong written and verbal communication skills.

    Term: This is a temporary role until August 2024 from the date of hire.

Responsibilities:

  • Provide support for Health and Safety team members in executing their daily roles and responsibilities.
  • Assist with updates to Health & Safety policies, directives, and procedures.
  • Assist in organizing meetings including preparing agendas, taking minutes and distributing relevant materials.
  • Data entry and maintain accurate records and databases related to health and safety compliance, incidents, training and certifications.
  • Coordinate logistics for safety training and orientation sessions including booking venues, arranging caterings and managing attendee registrations.
  • Prepare and distribute safety communications.
  • Order health and safety supplies.
  • Respond to inquiries and requests for information from employees and management regarding health and safety matters.
  • Assist in conducting research and gathering data for health and safety projects and initiatives.
