Available from the 1st April 2024, a rarely available opportunity has arisen to work as part of the fantastic Health4Work department. A great position within a friendly and supportive team, working 2.5 days. As the Administration Assistant within the HHFT Health4Work Service, you will strive for excellence in supporting our clients and clinical team.
The role will flex dependent on the needs of the service providing a nice balance of providing a client focused reception service, dealing with, and prioritising all incoming queries from staff or our external clients, booking appointments and proactively supporting event planning activities in order that our clients have a high-quality experience whilst using our service. It is important to ensure that administration is delivered to the high standard the service expects, escalating issues and concerns as appropriate in a timely matter so as not to affect services provided.
This role will be based at the Health4Work office, to the side of the education centre, at Royal Hampshire County Hospital.
Manage the department appointment diaries, ensuring all appointments are booked correctly on the Health4Work (H4W) system
Be the first point of contact for all queries into the department, proactively determining the reason for the query and forwarding on as appropriate
Ensure our telephone lines are covered and answered in a timely manner
Manage the departmental inbox, responding to email queries or forwarding on to the correct point of contact
Manage the daily distribution of incoming and outgoing post to the department
Adhere to confidentiality
Compile simple reports with help and guidance from the business and systems manager as required
Carry out any additional duties as required by Health4Work Senior Management and as instructed by the Business and Systems Manager to ensure continuity of service
Make suggestions for improvement in relation to own area of work
Escalate issues as necessary Senior Management team
