As a team, Stanford Health Care (“SHC”) is driven by curiosity, passion, and optimism and believes that everybody can grow! SHC is seeking an Administrative Assistant I (“AA1”) who shares the same beliefs, is also organized, and enjoys finding new work processes. The AA1 reports to the Manager – Business Operations. The AA1 will be primarily hybrid and will only report weekly or when necessary to meet operational needs. The AA1 will be responsible for supporting logistics for leadership and departmental administrative projects. Examples responsibilities may or may not include: calendar management, expense reporting, timecard management, and departmental space management. Additionally, the AA1 will review and update departmental policies and procedures of Stanford Health Care compatible with legal requirements.

EDUCATION QUALIFICATIONS

  • High School Diploma or GED equivalent

EXPERIENCE QUALIFICATIONS

  • 2 years of office and/or administrative work experience

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

  • Familiarity and knowledge of computer skills and relevant software (Microsoft Office applications such as Outlook, Excel, Word and PowerPoint)
  • Familiarity and knowledge of operation of standard office equipment (telephone, copier, fax machine, etc.)
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping
  • Knowledge of principles and practices of basic office management
  • Ability to demonstrate business communications skills (verbal, written, listening, reading)
  • Ability to follow standard operating policies and procedures
  • Ability to demonstrate information gathering and information monitoring skills
  • Ability to plan and organize
  • Ability to prioritize tasks
  • Ability to assess and solve problems

Base Pay Scale: Generally starting at $38.81 - $43.70 per hour
The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. This pay scale is not a promise of a particular wage

Responsibilities:

WHAT YOU WILL DO

  • Answers, screens and transfers inbound phone calls
  • Receive and direct visitors and clients
  • General clerical duties including photocopying, fax and mailing
  • Maintains electronic and hard copy filing system
  • Retrieves documents from filing system
  • Handles requests for information and data
  • Resolves administrative problems and inquiries
  • Prepares written responses to routine enquiries
  • Prepares and modifies documents including correspondence, reports, drafts, memos and emails
  • Schedules and coordinates meetings, appointments and travel arrangements for managers or supervisors
  • Prepares agendas for meetings and prepare schedules
  • Sorts and distributes incoming correspondence
  • Maintains office supply inventories
  • Coordinates maintenance of office equipment
