Responsibilities:

WHAT YOU’LL DO:

As an Administrative Assistant, you will play a crucial role in ensuring smooth operations within the office. Your responsibilities will span across administrative tasks such as coordinating travel arrangements, managing calendars, assisting in expense preparation and handling invoice payments. You will also be entrusted with front desk duties including receiving guests professionally, managing meeting room calendars and handling mail. Your ability to multitask will be key as you juggle these responsibilities while maintaining meticulous attention to detail.

  • Provide reliable support for the Administration Manager in all matters
  • Coordinate travel arrangements for assigned staff/director(s)
  • Manage calendars for assigned staff/director(s)
  • Assist in expense preparation, submission and tracking for assigned staff/director(s)
  • Check, record and obtain approvals for invoice payments
  • Coordinate and provide support with meetings, events and conferences
  • Attend and receive guests at the reception in a professional manner
  • Manage and coordinate meeting room calendars
  • Handle incoming and outgoing mails, postage, parcels, couriers
  • Assist in pantry, office, stationery supplies orders when required

The ideal candidate for this Administrative Assistant role brings a combination of qualifications and skills that ensure success. You should possess a GCE ‘O’/‘A’ Level or equivalent qualification along with 1-3 years of experience in front desk or administrative roles. A pleasant personality coupled with strong verbal and written communication skills is essential. You should be able to work well within a team but also independently when required. Effective interpersonal skills are a must, along with the ability to multitask and maintain meticulous attention to detail. Proficiency in MS Office applications is also required.
