Description:

The Administrative Assistant will support the corporate office with various administrative needs as well as support our centralized leasing team. The Administrative Assistant greets and directs all visitors, including vendors, clients, job candidates and customer, ensuring completion of paperwork, sign-in and security procedures. Duties also include fielding telephone calls, handling special administrative projects, as well as scheduling and coordinating leasing tours for Indio’s Apartment Locators.

REQUIRED QUALIFICATIONS:

  • High School diploma, or general equivalent degree (GED)
  • Minimum of 1-year experience in customer service, administrative, or similar role
  • Experience in residential property management a plus.
  • Ability to work a flexible schedule to ensure coverage during our core business hours (8A-5p and 9a-6P) as well as rotating Saturdays.

ESSENTIAL JOB FUNCTIONS:

  • Professionally answers telephones and directs the caller to the appropriate associate. Will transfer a caller to an associate’s voice mailbox when the associate is unavailable.
  • Support operations of the office including ordering supplies, stocking the breakroom and supply closet, assisting with ordering equipment and printing shipping labels,
  • Greet guests in a professional, friendly, hospitable manner.
  • Open and close visitor area (locking doors, closing blinds, turning off lights)
  • Type memos, correspondence, and other documents.
  • Maintain neatness and organization of reception desk, conference rooms and front closet areas with various administrative duties as outlined by the leadership.
  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information.
  • Greets and directs visitors to the company
  • Virtually greet prospects, professionally present the assigned property’s features and benefits, and schedule prospect tours over email and phone.
  • Follow up on prospective residents and market the community to telephone prospects. Convert phone calls to tours for on-site leasing team.
  • Ensure guest cards are complete, entered into the property management software, and completed for prospects.
  • Participate in answering phones, taking messages, responding to email leads and inquiries for the assigned property(s). Must be knowledgeable of Indio’s products and offerings.
  • Requires some flexibility with hours when needed.
  • Miscellaneous duties as assigned/directed.
