The Administration Department of FM Global has a position opening for an Administrative Assistant (m/f/d) in Frankfurt.
As a member of the Administration Team, the Administrative Assistant ensures the accurate handling of all administrative tasks, providing support to our employees in various countries and representing our company to guests, clients and vendors.
This includes but is not limited to:
- Check of incoming invoices and preparation for payment, incl. internal coding and payment control;
- Handling of queries from our UK located finance department;
- Car fleet administration incl. handling of accidents, fuel cards, tracking of repairs, maintenance history, car returns, car costs overview, interim cars, etc.;
- Handling of health and safety, incl. business continuity plan;
- Administration of mobile phones, incl. cost analysis and enhancement of contractual options;
- Order of office supplies such as stationery, office equipment, etc.;
- Keys, badges and office security administration;
- Coordinating of purchases, repairs and replacement of office equipment;
- Reception, switchboard and postage service;
- Conferencing and welcoming of guests and clients incl. organizing of catering;
- Updating of records and ad-hoc reporting;
- Tracking of business travel and travel agency bookings.
- Relevant vocational education (Berufsausbildung) and some years of work experience in the administration environment of an international company (experiences in finance/accounting or hotel background preferred);
- Hands-on mentality, self-motivated, collaborative and team-oriented;
- Strong organizational skills with ability to plan and prioritize tasks;
- Attention to details and strong problem solving capability;
- Very good communication skills, both oral and written, in German and English;
- Advanced computing skills, particularly Microsoft Excel and Word.
