TITLE:

Administrative Assistant / Operations Analyst
Candidate will perform a wide range of administrative and front office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization. Duties will be clerical, administrative, office management, scheduling travel, arranging meetings, processing information requests, preparing reports and correspondence, and liaising with other senior level Military and Civil Service members. This position requires a high level of professionalism, discretion, and diplomacy. Candidates must possess proven skill sets required to coordinate the activities of an executive office and must be a self-starter who can perform multiple tasks simultaneously.

Required Qualifications:

  • This position requires a bachelor’s degree and at least 10 years of experience. Additional experience may be substituted in lieu of a degree, (total of 18 years of experience).
  • Candidates must possess an active Secret or higher security clearance or be able to obtain one

Responsibilities:

  • Coordinate and develop briefings and other products for external use to ensure the message and content is consistent with Product Office objectives.
  • Create and maintain Product Office meeting charts, briefing packets, and similar work products.
  • Track, assign, and manage taskers and related workflows.
  • Provide coordination and oversight of briefings and end products to ensure consistent message, format, and content.
  • Receive and direct visitors.
  • Represent Product Office stakeholders in acquisition operations coordination and execution.
  • Maintain and organize Executive’s calendar to ensure that she/he is prepared for any meetings, schedule meetings and appointments.
  • Process queries and request for information and data and direct to appropriate office.
  • Resolve administrative problems and inquiries.
  • Coordinate staffing and routing of taskings and reviewed documents internal and external to the Product Office via the Enterprise Task Management Software Solution (ETMS2).
  • Prepare and review written correspondence in accordance with the Army Regulation 25-50. Prepare or edit directives, issuances, memoranda, policy statements, taskings, and other written guidelines. Review documents for omissions and inconsistencies and ensure data is complete and accurate.
  • Prepare travel arrangements in the Defense Travel System (DTS), making travel, lodging, and rental car bookings. Prepare travel books with agenda and supporting documents.
  • Prepare agendas for meetings. Record, compile, transcribe and distribute minutes of meetings.
  • Maintain office supply inventories.
  • Effectively communicate important and pressing matters to Government leadership and execute directed resolutions.
  • Assist in schedule synchronization between headquarters, parent, and subordinate organizations.
  • Coordinate facilities and resources to conduct briefings or other collaboration activities (e.g. conference facilities, teleconference, video teleconference, digital presentation, room preparation, etc.).
  • Coordinate, set up, and execute off-site/team building activities and agency social events.
  • Attend meetings with leadership, transcribe notes, record action items, and ensure the timely fulfillment of post-meeting actions.
  • Create, edit, and proofread documents and presentations using Microsoft Office suite of products (PowerPoint, Word, Excel, etc.)
  • Coordinate in-processing/onboarding of new employees with the Product Mangement Team, Aquisition Operations Division, and other stakeholders.
