Description:
THE POSITION:
In this role you will be based in our Auto Exterior Division at Leonarda da Vinci 10 in Gliwice.
You will be an Executive Administrative Assistant for 2 Directors (HR & Operations functions) - English and German speakers. We are looking for an individual who’s resourceful, innovative, and proactive to support their executive leaders. You must think independently to make decisions under pressure, have good communication skills to share information with your supervisors efficiently and effectively.
REQUIREMENTS:
- Bachelor Degree in Office Services/ Administration /Marketing/ Communication
- Minimum 3 years experience in an assistant role
- Fluency in English
- Fluency in German
- Confidentiality/discretion
- Excellent interpersonal and editorial skills/ Team spirit
- Flexibility, autonomy, excellent stress and priority management
- Excellent listening & communication skills (verbal & written)
- Computer literate (Microsoft office and various IT tools: Teams, Outlook, MS365, etc.).

Responsibilities:
- Manage director’s calendar, including scheduling and prioritizing the most sensitive topics
- Organize, plan, coordinate various events
- Take charge of travel logistics
- Organize ad-hoc events and visits
- Provide administrative assistance such as writing memos and preparing communications/presentations
- Update Direct Reports
- Support communication meeting
- Support integration
- Create and track expense reports
- Create purchase orders
- Liaise with Accounts Payable/ accounting for Invoices and follow-up on payment (when applicable).
