THIS IS A PART-TIME POSITION WORKING 4 HOURS PER DAY/20 HOURS PER WEEK. (10 AM- 2 PM PREFERRED)

We are seeking a part-time Administrative Assistant to facilitate connections between employees for the corporate office. This role will perform receptionist and general office duties under instruction from the Manager of Corporate Strategy (or its deputy) to ensure the office runs smoothly. The Administrative Assistant will utilize strong organizational, problem-solving, and multitasking skills to perform coordinating duties efficiently and effectively for the company. This role requires a motivated team player who is extremely organized, professional, and possesses solid written and verbal communication and analytical skills. The Administrative Assistant must be a dedicated individual who is a hard-worker and enjoys problem-solving, new challenges, and collaborative teamwork in an ever-changing and growing environment.

Responsibilities:

  • Answer phone calls, take messages for all (2) locations and respond to emails.
  • Screen cold calls and respond to external emails. Take messages. Does not give out any employee extensions without permission.
  • Handle all incoming and outgoing mail; FedEx – provide shipping labels for employees/ manage account.
  • Greet/screen clients, guests, and visitors.
  • Check to see if conference rooms are tidy and presentable for the day.
  • Assist with arranging external and internal onsite meetings including but not limited to, ordering and/or picking up lunch, setting up meeting rooms, clean up after meetings, etc.
  • Inventory and order office supplies, kitchen supplies and business cards as needed for all (2) locations.
  • Take inventory of office supplies. Reach out to the other site to see if they are low on anything. Request office supply orders through Infor (Buyer/ Purchaser will make the order).
  • Order or purchase needed supplies.
  • Ensure coffee cups/pods, water cups, plates/bowls, utensils, paper products, etc. are out and ready to use for the day.
  • Clean out fridge every Friday. Throw away old items.
  • Order Business Cards.
  • Submit work orders to facilities if there is a maintenance issue with the building. Examples: A desk needs to be moved. A light bulb needs to be changed. A white board needs to be hung. A hole needs to be repaired.
  • Support Business Coordinator for ‘White Glove Service’ to ensure an excellent experience for client visitors - arranging reservations, travel, meals, hotels, venues, etc.
  • Support corporate events planning and execution as requested.
  • Support Business Coordinator to coordinate company newsletter (Matican) and report on events such as volunteering, monthly birthdays, work anniversaries, etc.
  • Occasional travel between both College Station locations.
  • All other duties as assigned
