We currently have an opportunity for an Administrative Assistant at our Richardson Port Terminal located in Thunder Bay, ON. This position is responsible for providing confidential administrative support to management and operating departments and performing a variety of administrative functions. This is a part-time position requiring two days of work per week, with potential for additional hours during vacation coverage.
QUALIFICATIONS:
Administrative Certificate/Diploma or equivalent relevant education and/or experience.
Minimum of two years of administrative experience
Exceptional interpersonal skills, capable of effective interaction at all levels
Strong self-starter with adaptability to various situations and a team-oriented approach
Excellent communication and organizational skills with a keen attention to detail, capable of managing multiple tasks concurrently
Demonstrated willingness to undergo cross-training and acquire knowledge about our business
Proficiency in Microsoft applications including Word, Excel, Access, and PowerPoint
Outstanding organizational and communication abilities

Responsibilities:
Efficiently close off work orders and preventive maintenance tasks within the maintenance/asset management system
Create purchase orders and work orders accurately
Oversee orientations and ensure compliance with regulations
Manage inventory of consumable goods
Prepare documents, reports, and presentations; maintain spreadsheets effectively
Organize documentation across departments
Maintain confidentiality of filing systems and employee records
Supervise janitorial staff
Coordinate special events
Provide support for communication and office equipment
Offer backup coverage for training, scheduling, payroll, and accounting tasks
