Weston & Sampson is seeking a Part-Time Administrative Assistant in our Suffern, NY office working 20 hours per week with the flexibility of working additional hours when necessary. We are looking for a confident, self-motivated and resourceful professional with a “can-do” attitude and a keen sense of judgment. The position demands the ability to work on multiple projects/deadlines under pressure and work with a range of staff simultaneously.

WHAT YOU’LL BRING:

  • Candidate must be able to organize systems and work with diverse personnel, as there are often competing deadlines.
  • Candidate shall be detail-oriented, organized, and a team player who is able to work on multiple projects simultaneously.
  • Candidate must possess considerable experience with Microsoft Office Suite, including data entry and manipulation using Excel, presentation preparation using PowerPoint, and schedule development using MS Project. Experience with InDesign, BlueBeam Revu and Vu is a plus.
  • Must possess technical writing skills.
  • Bachelor’s degree preferred.
  • Experience in the environmental consulting industry is a plus, however, will consider entry-level candidates and will train as necessary, local travel may be necessary.
    Salary Range: $40,000.00 - $45,000.00 Based on Experience

Responsibilities:

  • Collaboration with other offices to provide administrative support for a 10+ person office in Suffern, NY.
  • Coordination with accounting and marketing staff to facilitate the opening of new projects and preparation of project marketing documents.
  • Report editing and preparation, specification edits and formatting.
  • Agenda and minutes preparation for staff and project meetings.
  • Booking conference registrations, professional association activities, and travel arrangements.
  • Compiling and reporting revenue projections in Excel.
  • Creating and running CRM and Project Management Reports in Deltek’s VISION software.
  • Coordinating submittals to state departments of environmental protection using their online/website document upload systems.
  • Proven ability to communicate effectively both in verbal and written forms and possess excellent interpersonal skills.
  • General administrative tasks for the office including reception, photocopy center, and other administrative and office organizational tasks as required.
