Description:
We are looking for a detail-oriented and organized Administrative Assistant to support our team in day-to-day office tasks. Responsible for providing administrative and clerical support to relieve department managers. May take and deliver messages, provide information to callers, set up and maintain files, provide workers and maintain office and pantry supplies, prepare and sort mail, research and compile inventories and reports.
REQUIREMENTS:
- 1 to 3 years of admin experience required
Responsibilities:
- Demonstrate a high degree of professionalism, initiative and independence to support office administrative and clerical needs.
- Establish and maintain and effective working relationships with all staff and officials including external stakeholders. Eg vendors, service provider or suppliers
- Provide receptionist support. Greeting Visitors & accepting deliveries (Fedex, UPS, DHL, Fastrek & Others). Send/receive samples from customer/distributors/product lines etc
- Supervise maintenance / Contractor visits. Make sure their job is done & sign the Job Sheet by respective vendor
- Supervise the ISS contract cleaners routine works and time schedule
- Office facilities upkeep: Lights, aircon, water pump, potted plants, sanitiser dispensers - Make sure all are in order, clean & working properly (Contractors: THK, Island Landscape, Rentokil)
- Check inventory of office equipment/supplies/stationeries, adhoc purchases (e.g. hampers, wreath, etc) pantry & first aid supplies and attend to general requests from Staffs. Eg: Stationery request, Tissue box & other misc requests
- Cubicles keys - update list of spare keys for all cubicles
- Set up meetings as needed (send out meeting invites, prepare meeting logistics, booking of conference calls/meeting rooms, take action items/notes from the meeting, etc), preparation of materials and refreshment for meetings as appropriate, including lunch/dinner recommendations and bookings for key customers/guests. (quarterly reviews)
- Execute travel arrangement for office staff as needed
- Supports Functional Group Orientation schedule and logistics needs for new hires
- Logistics support/execution learning and development events (internal, external and major meeting)
- Receive, sort/screen and track all incoming correspondence including faxes, postal mail and e-mail. Categorize and prioritize responses as needed.
- Add to and maintain an accurate business (office supplier vendor) contact database.
- Must maintain proper filing system and maintain up to date files and knowledge of all current activities.
- Maintain comprehensive understanding of company policies, procedures, and methods of operation to effectively and efficiently conduct duties and responsibilities.Performing other related duties as assigned by supervisor (e.g. Printing/distribution of spot award cert, distribution/tracking IRA vouchers, QWL, logistics needs for new hires, etc)
