ADMINISTRATIVE ASSISTANT

    Strong Private Wealth of Raymond James Ltd. is seeking an experienced Administrative Assistant to work in our Burlington office. Raymond James Ltd. is one of Canada’s leading full-service independent investment dealers offering high-quality investment products and services to Canadians seeking customized personal solutions to their wealth management needs.
    You will assist our two Portfolio Managers with providing comprehensive administrative service to their clients. You will be part of a team working collectively towards providing excellent client service. This is a contract full-time position with a competitive compensation and benefits package.

Specifically, you will:

  • Answer phone calls and respond to general inquiries, both in-person and on the phone.
  • Manage all client documentation (both onboarding of new clients, and maintaining current relationships) and ensure compliance with documentation as it relates to regulatory requirements.
  • Be responsible for monitoring client accounts from an administrative perspective and maintain both physical and digital client files.
  • Liaise with the Raymond James back office and external third parties as required.
  • Be involved with preparing detailed correspondence, performance reports and e-mail communication for clients.
  • Provide service to both the Portfolio Managers and clients’ day-to-day requests, and other general office duties as required.
  • Prepare reports and files for client meetings.
  • Assist in planning, organizing and executing events periodically throughout the year.
  • Prior to meetings with external third parties, prepare meeting room.
  • Be prepared to perform minor troubleshooting with office computers, fax and copier, while liaising with external IT support;
  • Notify IT technician, copier service team, etc. when service or support is needed for office systems or equipment.
  • Collect all mail (ingoing and outgoing) and review in line with regulatory requirements.
  • Prepare banking documentation for client deposits when required.
  • Preparation for regulatory and compliance audits when required.
  • Liaise with Raymond James regarding any office information or documents required.
  • Weekly marketing newsletter preparation; Social media creation and posting;
  • Other duties as assigned.

  • Securities licensing is not mandatory for this position.
