Description:

We are currently seeking an Administrative Assistant to provide essential support to our client’s maintenance department in Sechelt, BC. This is a temporary on-site position requiring strong organizational skills and attention to detail.

Responsibilities:

Close maintenance work orders (WOs) in the computerized maintenance management system (CMMS) upon completion of tasks.
Open new repair work orders based on identified maintenance requirements from closed WOs.
Complete filing of work orders and related documentation in equipment files for easy access and retrieval.
Print work orders for the upcoming week’s maintenance plan from the CMMS and file them appropriately.
Provide general administrative support including but not limited to data entry, scheduling, and document management.
Assist in reviewing completed work orders and entering relevant information into the system.
Maintain accurate records in the Enterprise Resource Planning (ERP) system, ensuring all data is up-to-date.
Collaborate with the maintenance team to ensure smooth operations and effective communication.
Previous experience in administrative support or similar roles is preferred.
Proficiency in computerized maintenance management systems (CMMS) and enterprise resource planning (ERP) systems is highly desirable.
Strong organizational skills with the ability to multitask and prioritize tasks effectively.
Excellent communication skills, both verbal and written.
Detail-oriented and capable of maintaining accurate records.
Ability to work independently with minimal supervision.
Flexibility to adapt to changing priorities and deadlines.
Strong capabilities in Microsoft Office Suite (Word, Excel, Outlook).
