Description:

Smart Building Technologies (SBT) is searching for an Administrative Assistant to join our dynamic Business Development (BD) team. The candidate will assist in Business Development activities with strong organizational skills and working knowledge of the Contracting bidding processes.

Qualifications:

  • Three (3) to Five (5) years of experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant
  • Excellent written and verbal communication skills including editing, revising, and formatting business documents
  • Proficiency in MS Office (MS Word, MS Teams, MS Excel, and MS PowerPoint, MS SharePoint in particular)
  • Excellent time management skills and the ability to prioritize work

Typical responsibilities:

  • Organize, schedule, develop agendas, and prepare support materials for meetings, and take detailed minutes of meetings
  • Work with the Contract manager to maintain the Business Development Database, monitor, update, research, and provide the status of the BD pipeline (Bid Tracker Sheet)
  • Assist the Business Development Manager with tracking and managing the schedule of all business development deliverables including capture activities and proposal response due dates.
  • Organize and manage bid lists for opportunities with multiple bid requests
  • Review and assist in analyzing internal BD processes to identify, recommend, and implement solutions to problems
  • Maintain structured filing systems/processes for correspondence, reports, and documents for easy access and retrieval
