POSITION REQUIREMENTS:

  • Answer all phones.
  • Open mail, stamp and distribute.
  • Assist employees with questions they have concerning tickets, payroll, etc.
  • Type, mail and send faxes for supervisor.
  • Check tickets and make sure they are coded correctly before keying payroll.
  • Enter all time for drivers and mechanics.
  • Run payroll reports.
  • File all time sheets.
  • Responsible for entering hourly tickets.
  • Will assist with equipment fuel usage and reports.
  • Ensures all fleet trucks are up to date on tags.
  • Run PM Status reports for all divisions.
  • Batch tickets from time sheets by road and job number.
  • Total batches and enter into the computer.
  • Keypunch all liquid asphalt tickets.
  • Keypunch tickets from Bourbon Limestone, Bridge Stone, Bowen, outside sand hauls and waste.
  • Responsible for looking over tickets that are downloaded to check haul rates and correct as needed.
  • After tickets are keypunched, run a proof and update.
  • Run invoices on outside sales weekly.
  • Batch tickets individually, put rates on each job and total.
  • Run proof and invoice on each driver.
  • Send invoice to A/P for payment.
  • Enter and receive all purchase orders KHI, TCC and equipment.
  • Send PO’s to A/P for payment.
  • Work with vendors when an invoice has not been paid.
  • Responsible for mileage being added on time sheets and entered into computer for all trucks.
  • File all work orders, Tickets, Time Sheets and Invoices for outside customers and hired truckers.
  • Box all files at year-end.

MINIMUM QUALIFICATIONS:

  • High School graduate with 3-5 years’ work experience in similar position, or 2 year associates degree;
  • Ability to communicate effectively with individuals at all organization levels, including senior management;
  • Experience within the construction industry strongly preferred;
  • Knowledge of clerical and administrative procedures;
  • Knowledge of customer service principles and practices;
  • Excellent communication skills and professional personal presentation;
  • Organizing; planning, and customer service orientation;
  • Great attention to detail and stress tolerance;
  • Proficient knowledge of Microsoft products preferred.
