YOUR CAPABILITIES AND CREDENTIALS

  • High level of proficiency in Microsoft Word, Excel, Outlook, PowerPoint.
  • Newforma preferred.
  • Experience with creating and editing user-friendly PDF documents using advanced features of Acrobat Professional and Bluebeam preferred.
  • Must be a self-starter and have a proactive approach.
  • Must possess strong telephone, organizational, and written communications skills.
  • Must be able to multitask and prioritize workload.

Responsibilities:

  • Provide direct administrative support for the project management teams as needed. Duties may include:
  • Provide QA/QC oversight of program and project deliverables.
  • Assist team members in preparing materials for meetings, etc.
  • Assist in updating documents such as meeting notes, correspondence, reports, etc.
  • Assist with production of deliverables including printing, binding documents, preparing presentations and reports.
  • Assist with change order management – prepare transmittals and reports and distribute as required.
  • Assist with travel, conference calls, meetings, etc.
  • Assist with word processing, formatting, and editing of project deliverables.
  • Prepare and finalize AIA documents.
  • Receive, log, track and distribute documents in both electronic and paper format for project record maintenance.
  • Recognize issues, advise and confer with leadership and project team on matters affecting project records, documents and deliverables.
  • Other duties that may arise.
  • Receptionist duties as needed to include answering the phone, greeting guests and troubleshooting issues with printers, copiers, etc.
  • Assist the Project Controls team with tasks as assigned.
