Description:
SUMMARY
The Office of Counseling and Workplace Resilience (OCWR) in Michigan Medicine is looking for candidates to fill a temporary Administrative Assistant position to support the mission of caring for the emotional health and well-being of Michigan Medicine faculty, staff, house officers, and medical learners. You will work collaboratively to provide responsible administrative support to the clinical staff and Director of OCWR. You will report to the Director of OCWR.
The expected length of this position is 6-8 weeks, with possibility to extend as needed. The range of hours is approximately 24-32 hours per week. Office business hours are Monday-Friday, 8am-5pm, however scheduling may be flexible and will be discussed with the hiring manager and the successful candidate.
REQUIRED QUALIFICATIONS*
- Associates degree and at least one year of administrative experience, or equivalent combination of education and experience.
- Multicultural knowledge, competency, and experience working with diverse communities.
- Established computing, design, and data management skills, specifically Microsoft Office 365 and Google documents.
Responsibilities:
- Be the first contact for clients and visitors to provide a welcoming, compassionate, calming, and affirming introduction to OCWR.
- Protect clients’ HIPAA rights by maintaining privacy and confidentiality.
- Screen, triage, route, and follow-up on confidential information received from clients by phone, email, fax, and office forms to schedule services to meet the needs of clients.
- Assist with coordination/escalation of crisis response requests by consulting with OCWR team, following escalation procedures, and connecting to appropriate resources.
- Calendaring and maintaining client appointment schedules for clinical staff.
- Use OCWR’s electronic health record to coordinate online scheduling. Develop operational workflows within the EHR and manage the creation and submission of forms, clinical assessments, and clinic documents within a secure environment.
- In consultation with the OCWR team, assist with internal and external referral resources and community services.
- Perform other administrative tasks as assigned to support the mission and function of the OCWR.
