The Need
For 25 years, IJM has pioneered the work to protect vulnerable people from violence. 9 out of 9 times in the last decade, IJM’s Justice System Strengthening Projects have reduced slavery and violence between 50 and 85% for very large populations of people in poverty. As we grow to expand our impact to protect 500 million people from violence by 2030, we are seeking an Administrative Assistant to provide efficient coordination and administrative support for the leader of the Integrated Fundraising team and support administrative activities across the team.
The ideal individual will have a high commitment to confidentiality, outstanding administrative and organizational skills, with the ability to exhibit superior judgment and high emotional and cultural intelligence in a dynamic leadership environment with strong written and verbal communication. The Administrative Assistant must be able to thrive in a fast-paced, rigorous environment, steward a wide variety of activities and confidential matters with discretion, and partner with the Vice President to balance competing priorities to maximize productivity and effectiveness.
This position is based in the Washington, DC area and is available to be hybrid (onsite Tuesdays & Thursdays). It reports to the Vice President, Integrated Fundraising and is only available for candidates with the right to work in the US.
Responsibilities:

Documentation, Reporting & Data Management

  • Partner with the Vice President to track projects and tasks assigned by or for which the Vice President is responsible, ensuring that deadlines and milestones are met within expectations.
  • On the Vice President’s behalf, review direct reports’ expense reimbursement and weekly timesheets to monitor work/life rhythms and trends.
  • Take minutes during meetings, schedule follow-ups as necessary, record next steps and delegate responsibility of tasks.
  • Manage the accumulation and timely archiving of digital files, including but not limited to meeting agendas and notes, email correspondences, strategy and budget documents.

Clerical and Administration

  • Provide daily, routine administrative support to the Vice President.
  • Efficient scheduling with internal & external stakeholders.
  • Support Vice President with dynamic PowerPoint Presentations.
  • Provide accurate and timely processing of expense reports, consistent with IJM policies.
  • Track all implied and direct tasks, ensuring the Vice President has time to complete each task by the deadline, and communicating with stakeholders to reset expectations on tasks with fluid deadlines.
  • Prepare preliminary materials to enable the Vice President to meet important deadlines.
  • Complete weekly timesheet tracking, expense reports and payment requests in a timely manner.
  • Assist the Vice President in effectively meeting internal policies and procedures such as drafting briefings, submitting project charters, ensuring all policy trainings are complete, etc.
  • Complete other projects as assigned to support the Vice President and the Integrated Fundraising Leadership team.
  • Support Integrated Fundraising Operations, Mass and Midlevel teams to ensure assigned workflows are supported.

Communication

  • Ensure confidentiality is maintained at all times.
  • Organize concise, clear communication on behalf of the Vice President.
  • Develop coherent internal communication rhythms and processes for the Vice President and their teams.
  • Ability to represent Vice President well with internal and external stakeholders.

Operations

  • Provide operational facilitation and support to Integrated Fundraising team.
  • Manage Integrated Fundraising team welcome, onboarding and training, including coordinating start date and NA onboarding with HR, coordinating hardware and software setup with IT, coordinating Global Orientation with HR, and creating and facilitating Integrated Fundraising team NA training resources and schedules.
  • Collaborate with team to ensure onboarding and training materials for new staff is updated.
  • Facilitate quarterly Integrated Fundraising face-to-face team days meeting to include developing agenda, collecting content, planning team training sessions, planning team activities, providing information for travel and hotel, assist with booking travel accommodations, facilitating meeting schedule, taking notes and following up on all next steps and action items.
  • Track Integrated Fundraising team attendance for CEO All Hands Meetings, Global Prayer Gathering and other organization-wide functions and report to leadership.
  • Track Integrated Fundraising team annual and semi-annual performance review completion schedules across team.
  • Compile all Integrated Fundraising team NA Newsletter submissions.

  • Participate in IJM’s community of spiritual formation.

Qualifications:

Education & Experience

  • Minimum 5 years professional work experience providing leadership support or in a fast-paced, professional environment.
  • Bachelor’s degree required.
  • Excellent administrative and organizational skills, with a proven track record of managing multiple priorities simultaneously.

Technical Competencies

  • High proficiency with Microsoft Office suite, especially PowerPoint and Outlook.
  • Demonstrated ability to learn and adapt quickly to effective use of technology to streamline administrative support.
  • Knowledge of Salesforce, Workday and Adaptive preferred.

  • What is a statement of faith?
