We are looking for a driven, detail oriented, and organized individual to join our team! The Administrative Assistant will be key in providing administrative support our Competency-Based Medical Education (CBME) initiatives and departmental projects, including organizing meetings, taking minutes, tracking project documentation and activities, and generating status and summary reports. Your superior interpersonal and anticipatory skills will contribute to the ongoing success of Postgraduate Medical Education initiatives.
ESSENTIAL QUALIFICATIONS:
- Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
- Minimum three (3) years of project coordination and documentation experience.
- Demonstrated experience with determining logistics, coordinating schedules/agendas, and taking meeting minutes.
- Experience writing reports and preparing presentations.
- Proficiency with MS Office, Adobe Suite, and Survey software
- Strong organizational skills to support multiple stakeholders.
- Excellent oral and written communication skills.
- Ability to work independently with a high degree of initiative, discretion, and tact; ability and willingness to work cooperatively in a challenging and dynamic environment
- Ability to problem solve and deal effectively with multiple priorities with conflicting deadlines while maintaining a high degree of quality and accuracy
- Ability to maintain thestrictest of confidence in dealing with sensitive materials; adherence to relevant policies and procedures.

Responsibilities:
YOUR RESPONSIBILITIES WILL INCLUDE:
- Coordinating meeting schedules, agendas, materials, action, and follow-up items
- Coordinating tasks for projects and other strategic initiatives with stakeholders, including tracking project progress, milestones, and timelines.
- Writing routine documents and correspondence; verifying the accuracy and completeness of documents
- Collating and organizing data for various reports
- Drafting summaries, program reports, and presentation materials
- Responding to enquiries and resolving issues within the defined scope of the role and redirecting as appropriate
- Handling sensitive and/or confidential information
- Determining logistical details and activities for events and/or programming
