Weyerhaeuser’s Western Regeneration business has an opening for an Administrative Assistant based out of our Aurora, OR location. This is a full time, non-exempt position, with salary level dependent on skills and experience.
As an Administrative Assistant, you will be responsible for providing administrative support for the regeneration operations and the sales team. The ideal candidate is a self-starter who shows initiative, is a team player, has a positive attitude, and an excellent work ethic. In addition, this role requires consistent, professional interaction with outside agencies, contractors, the general public and the ability/willingness to travel and work (for short periods) at other locations in Western Regeneration.
The Western Regeneration business is comprised of four nursery locations, a seed processing plant and three seed orchards. Combined, the operations produce approximately 40 million seedlings annually.

PREFERRED QUALIFICATIONS

  • Associates Degree (or higher) in Business or related field
  • At least 2 years of detailed accounts receivable, SAP, and SharePoint experience
  • Experience working in a sales environment with demonstrated customer interaction and professional communication skills
  • Experience working in the Natural Resources industry (e.g., forestry, agriculture, horticulture)
    Compensation: This role is eligible for our annual merit-increase program, and we are targeting a salary range of $44,606 - $66,978 based on your level of skills, qualifications and experience. You will also be eligible for our Annual Incentive Program, which offers a cash bonus targeting 5% of base pay. Potential plan funding may range from zero to two times that target.

    Paid Time Off or Vacation: We provide eligible employees who are scheduled to work 25 hours or more per week with 3-weeks of paid vacation to use during your first year of employment. In addition, after being employed for six months, eligible employees begin to accrue vacation for future use. We also recognize eleven paid holidays per year, providing a total of 88 holiday hours

Responsibilities:

  • Contract initiation – set up and maintain contracts for seed and seedling production/sales and business purchase orders via DocuSign
  • Maintain an accurate customer database, which includes contract mail/email dates, deposits and payment tracking, and tax status
  • Provide professional office support to team members, supervisors, team leaders, outside government agencies, contractors, and the general public
  • Problem analysis and resolution
  • Field phone calls for sales team and assist with customer requests
  • Manage accounts receivable with attention to detail; produce statements, process payments, ACH, credits and refunds
  • Provide public seedling sales support, which includes handling proceeds, reconciliation, website updates, assisting with sale prep and sale days
  • Assist finance, planning, and corporate accounting, and serve as a liaison with investigations of variances/issues through gathering necessary information and audits
  • Support business systems support for various programs – Argos ABECAS, SAP vendor and customer set up and maintenance, SEEDS
  • Collect, compile, and enter production data – crop inventory, QC data, crop growth tracking
  • Maintain customer files, file retention, and storage compliance
  • Computer work including word processing, spreadsheet creation and maintenance, web database management, file sharing, etc.
  • Participate in site activities, safety, environmental, wellness, and DEI initiatives
  • Assist with business wide activities such as open houses, event planning and newsletter
