JOB SUMMARY

The Administrative Assistant is responsible for performing administrative tasks for a station or department within WFS.

MINIMUM REQUIREMENTS

  • Associate’s degree (A. A.) or equivalent from two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience
  • Typing required using personal computer.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to read, write, fluently speak and understand the English language.

PREFERRED SKILLS

  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

PHYSICAL REQUIREMENTS/WORKING CONDITIONS

  • Remain in a stationary position 50% of the time.
  • Occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Constantly operates a computer and other office productivity machinery such as a calculator, copy machine and computer printer.
  • Walk short distances.
  • Reach above and/or below shoulder.
  • Handle/grasp documents or office equipment.
  • Sit and/or stand for short or extended periods of time.
  • Lift/carry/move objects, files and documents up to 10 pounds.
  • Work in an office environment using standard office equipment.
  • Talk, listen, and speak clearly on telephone.
  • Maintain regular and punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards.

Responsibilities:

Schedule conference room meetings, and otherwise relieves officials of clerical work and minor administrative and business detail by performing the following duties:

  • Reads and routes incoming mail.
  • Locates and attaches appropriate file to correspondence to be answered by supervisor or manager. Composes and types routine correspondence. Files correspondence and other records.
  • Routes call to appropriate party and places outgoing calls. Schedules appointments. Greets visitors, ascertains nature of business, and escorts visitors to appropriate person.
  • Compiles and types reports.
  • Makes copies of correspondence or other printed matter.
  • May prepare outgoing mail or packages order and maintain supplies, responsible for ordering food for special meetings and maintenance of kitchen, conference room and copy/supply room.
