As a Administrative Assistant, you will play a critical role in supporting the Xcimer team by working cross functionally providing scheduling, customer service, and event planning support while helping us deliver results on a first of its kind fusion energy system. This role involves frequent engagement with company leadership, external stakeholders, and candidate engagement. It requires a person with a passion for working with people, executive presence, excellent interpersonal skills, and a proven ability to deliver results. We are looking for a people centric Administrative Assistant to apply their organizational expertise, problem solving skills, and dedication to quality to positively impact the future of energy!

QUALIFICATIONS

  • Previous experience in an administrative support role (administrative assistant, executive assistant, recruiting coordinator, etc.) preferably in a startup or fast-paced environment.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point).
  • Excellent verbal and written communication skills, interpersonal skills, and high customer service capabilities with a keen attention to detail.
  • Proactive problem-solving skills and a willingness to take initiative.
  • Attention to detail and ability to produce quality products with a high level of accuracy.
  • Ability to multitask and prioritize tasks effectively in a dynamic and evolving environment.
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
  • Ability to earn trust, influence others, and maintain positive and professional relationships.
  • Administrative skills, organizational skills, and problem-solving skills.
  • Comfortable in a fast-paced, dynamic, and ambiguous environment.

    Candidates may be considered for other positions at Xcimer Energy, and our actual base salary will be determined on an individual basis and may vary based on job-related knowledge and skills, education, and experience. The range is published in accordance with Colorado Equal Pay for Equal Work Act and California Equal Pay Act.

Responsibilities:

  • Provide comprehensive administrative support across all departments of Xcimer, including leadership, recruiting, engineering, and beyond. Tasks include but are not limited to document management, electronic filing and organization, calendar management, recruiting coordination, candidate interaction, travel arrangement, expense report processing, relocation assistance, and event planning.
  • Facilitate project coordination efforts involving multiple internal and external teams, supporting complex projects overseen by project managers.
  • Take charge of intricate travel arrangements, crafting detailed itineraries and agendas to ensure smooth travel experiences for team members.
  • Handle expense reporting tasks on behalf of the assigned team, ensuring accuracy and adherence to company policies.
  • Serve as a liaison between internal departments and external partners on behalf of leadership, fostering effective communication and collaboration.
  • Coordinate logistics for various activities including candidate interviews, new employee orientation, conferences, and events. Assist in the preparation and execution of meetings, conferences, and other business-related gatherings.
  • Maintain the upkeep of conference rooms and common areas, ensuring that equipment is in optimal working condition.
  • Oversee the inventory of office supplies and equipment, managing replenishment and organization as needed.
  • Assist in the preparation of reports, memos, presentations, and other documents as required, demonstrating a keen eye for detail and accuracy.
  • Handle sensitive and confidential information with the utmost discretion and integrity.
  • Provide support for additional tasks as necessary to contribute to the ongoing growth and success of the company.
