1. Education: High School Diploma or GED equivalent required. Additional training in the following areas helpful: Two year business school/ college degree or equivalent experience in an administrative assistant position.
2. Licensure / Certifications: None required. Notary Public desirable.
3. Experience: Minimum of 3 years administrative support experience, with a wide scope of responsibility including, but not limited to: reception duties, scheduling, travel arrangements, meeting arrangements, minutes, etc. Experience preferred in the area of specialty, healthcare, accounting, etc.
Demonstrates standards of performance (ownership, teamwork, communication, compassion) that support patient satisfaction and principles of service excellence.
Performs other duties as assigned.
Individual will possess commensurate combination of education, experience and qualifications.

Responsibilities:
WHAT YOU’LL DO
Summary:
This Administrative Assistant II-CHA is responsible for the creation and management of multiple clinical schedules, processes payments and provides general administrative support for the residency program. Attention to detail is key in this role. This position reports to the Program Administrator.
Responsibilities:
1. Creates clinical schedules that meet ACGME requirements for residents and clinical targets for faculty. Communicates with appropriate staff to insure coordination of schedules for all locations. Manages schedule changes resulting from vacation, illnesses, etc. and clearly communicates changes as necessary.
2. Maintains physician on call schedules and enters into the hospital on call system. Tracks and reports physician on call pay amounts to payroll for processing.
3. Provides administrative support for residency faculty, organizes meetings, and maintains faculty calendars to reflect accurate scheduling of clinical responsibilities.
4. Provides administrative support for clinical meetings to include reporting minutes from the meeting.
5. Manages office supply ordering, processes expense reimbursements and tracks physician continuing education and reports time and expense associated with these activities.
6. Assists in coordinating residency interview process, arranges lodging and meals for invited applicants.
