POSITION DESCRIPTION
As an integral part of the Department of Anesthesia and Pain Medicine, the Administrative Co-Ordinator will provide onsite administrative support with an impact on the clinical and academic operations of the Department. The successful candidate must be sufficiently skilled to support complex administrative tasks and proactively solve issues and make recommendations to ensure the day-to-day administrative operations of the Department run smoothly.
Responsibilities:
- Maintain Physician Faculty calendars; schedule and confirm appointments, anticipate time conflicts, and use judgement to reschedule meetings or appointments according to changes in priority.
- Maintain Faculty CVs, assist with pulling together promotions applications.
- Arrange meetings, internal and external small- and large-scale events; coordinate bookings, catering, audio visual and equipment, as required.
- Prepare and distribute meeting agendas and minutes.
- Onboard/off-board various students and research fellows; provide timekeeping support to supervisors.
- Provide ongoing support and coverage for other coordinators within the Department.
- Coordinate and oversee administrative projects from draft to implementation/completion.
- Assist with travel bookings, as needed.
- Act as day-to-day onsite point person for operational requirements for the Department.
- Develop strong relationships and communicate with multiple-level contacts across several portfolios and throughout the Hospital to exchange/ report/ analyze moderately complex information.
- Independently respond and collaborate with other areas to problem-solve/resolve conflicts and roadblocks, and independently or collaboratively propose solutions.
