SUMMARY

At CSS Farms, our company operations are a key element to our ongoing success. In this role, the Administrative Coordinator will support company operations by providing professional administrative support to our operations leaders, leading the equipment & vehicle fleet program, and overseeing general upkeep and maintenance support of our Kearney Shared Services office. This dynamic position requires a high level of customer service, including the ability to anticipate needs, effectively assist in competing priorities with high attention to detail and offer solutions with a high level of professionalism and confidentiality. This individual will report to the Chief Operating Officer and will be based in our CSS Farms Shared Services office in Kearney, Nebraska.

DESIRED QUALIFICATIONS

  • Bachelor’s Degree in Business Administration or a related field
  • 2+ years’ experience supporting executives including but not limited to presentation creation, travel management and multi-calendar facilitation.
  • Exceptional attention to detail and accuracy while managing competing priorities in a fast-paced environment.
  • Demonstrated initiative and independence of action in performing the responsibilities of the position to identify and implement solutions with team input.
  • Strong customer service skillset, with emphasis on the ability and willingness to anticipate needs and drive for action and solutions
  • Proficient skill with Microsoft Office Suite (Excel, PowerPoint, Access, Word) as well as teleconferencing tools such as Microsoft Teams and Zoom
  • Strong communication skills, both written and oral, including the ability to present information in a competent, efficient manner to various levels of company personnel.
  • Demonstrated strong work-ethic with exceptional interpersonal skills.
  • Ability to comprehend, read, write, and communicate proficiently in English.
  • Ability to travel up to 20% of work time with flexibility in schedule for routine company meetings and events.

Responsibilities:

Administrative Support – Operations Leadership

  • Proactively maintain operations leaders’ and executive team schedules, including preparation, coordination, and scheduling for meetings, conferences, and travel.
  • Preparation of reports, presentations, and correspondence for senior leadership team as well as meeting notes and action item tracking.
  • Track, maintain, and analyze operational and farm-level data.
  • Coordinate expenditures for the Executive Team and reconcile credit card purchases.
  • Build and maintain relationships with hotels and other venues to obtain the best corporate rates and ensure successful travel for executive team members and incoming guests.

    Equipment

  • Coordinate and analyze the full end-to-end company equipment and farm machinery inventory process; this includes maintaining accurate inventory records, ensuring updated insurance and maintenance on equipment, managing lease agreements, and facilitating license renewals and inspections.

  • Work with farm leadership on delivery and pick up of equipment.
  • Facilitate the process of aligning new employees with company vehicles.
  • Assist in developing and keeping up with the company annual budget for equipment and farm machinery.
  • Facilitate quarterly and annual audits of equipment and machinery inventory and budget.

    Shared Services Office Support

  • Ensure the office remains a great environment to work by facilitating the ongoing prompt service of lawn and snow care, cleaning, annual inspections, utilities and associated billing, and working with our third-party partners to ensure timely maintenance and upkeep.

  • Ongoing inventory management and ordering of office supplies for our facilities and team members.
  • Partner with the marketing team to successfully execute team building events and gatherings.
  • Volunteer for and accept assignment of other tasks and responsibilities, as needed.
