Responsibilities:

ABOUT THIS ROLE:

This position acts as the office manager to perform administrative, secretarial, and clerical tasks and provides support to the Department Chair and Program Directors in a multi-disciplinary department. The Department of Sociology, Social Work, & Criminal Justice (SSWCJ) is a large department with nearly 600 undergraduate majors, 150 graduate students, and nearly 30 full-time and adjunct faculty. This position performs a wide variety of administrative duties and serves as a key communication link between the SSWCJ department and faculty, students, and the general public.

WHAT YOU’LL DO – POSITION RESPONSIBILITIES

  • Provides administrative support to the Department Chair, Program Directors, and faculty. Monitors and develops schedules, assists in classroom assignments, works with advising and Degree Works, monitors budget, maintains supplies and equipment, and communicates with faculty and students as needed. Drafts department official communication and maintains website (as needed) and other electronic document.
  • Maintains department local area network database; prepares and distributes various correspondence; responding to emails; typing required forms and reports; answering and screening calls; copying and faxing; coordinating and scheduling meetings and events; greeting visitors; managing calendar; and ordering office supplies.
  • Maintains all required accreditation materials and annual reporting such as formatting and drafting documents, maintenance of the document repository for all programs.
  • Provides related support by training and supervising student workers; arranging dinners and special events; and reimbursements; and providing technical/software support and training.
  • Provide administrative support to the faculty; organizing meetings, minute notation, and assist with consortium meetings.
  • Other duties include creating reports for labels and lists, updating employee contact information, maintaining student records filing system, and performs other duties as assigned in response to the needs of the department.

  • Knowledge of university system and processes
  • Knowledge and experience working in LU computer systems such as Banner, Cardinal Purch, Argos, Degree Works, Dashboard, AdAstra Scheduling, Chrome River, Smartsheet, etc.
