Description:

We are in need of an efficient Administrative Coordinator to join our team in San Diego, California. This role will be primarily focused on office coordination, responding to phone calls, and drafting letters. You will be handling a variety of tasks including speaking with labor representatives over the phone and taking intake calls. This role is based in a physical workplace and requires excellent receptionist skills.

Responsibilities:

  • Manage and coordinate office activities and operations
  • Answer, screen, and forward incoming phone calls while providing necessary information
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages, etc.)
  • Draft letters and other forms of internal communication
  • Assist in the preparation of regularly scheduled reports
  • Perform data entry tasks as required
  • Communicate with labor representatives over the phone, ensuring all inquiries are handled appropriately
  • Take intake calls and ensure all necessary follow-up actions are taken
  • Ensure the office is well-organized and running smoothly
  • Provide excellent customer service, demonstrating patience and empathy as needed.
  • Proven experience in an administrative or coordinator role
  • Proficiency in performing receptionist duties
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Proficient in MS Office Suite (Word, Excel, PowerPoint)
  • Ability to work independently and as part of a team
  • High attention to detail and problem-solving skills
  • Ability to handle sensitive and confidential information with discretion
  • Ability to prioritize tasks and meet deadlines
  • High school diploma or equivalent; further education in Office Administration is a plus
