Job Description
Supports plant operation by providing administrative and clerical support.

KNOWLEDGE, SKILLS AND EXPERIENCE:

  • Experience in a Concur, Ariba environment would be an asset;
  • Experience and understanding of office functions;
  • Supports plant operation by providing administrative and clerical support;
  • Computer proficiency with good working knowledge of Excel (formulas, pivot tables, etc.) and Word;
  • Understanding of basic accounting/AP cycle;
  • Pay close attention to details and present good planning, organization and time management skill;
  • Effective oral and written communications skills, good vocabulary, grammar and the ability to independently compose routine written communications;
  • Work effectively with interruptions;
  • Handle confidential and sensitive information or issues;
  • Good telephone etiquette;
  • Work in a team environment and willing to assume additional or new responsibilities readily.

Responsibilities:

  • Enters data from various sources to maintain and update databases and spreadsheets;
  • Ensures data integrity by verifying input and calculations;
  • Maintains organized computer and/or hard copy files for easy identification and retrieval;
  • Maintains inventory of office supplies, first aid supplies and chemicals;
  • Prepares purchase orders and order goods independently and for Supervisors, Maintenance Manager and Project Manager;
  • Receives goods and processes invoices;
  • Resolves payment problems for suppliers;
  • Answers the telephone and provides basic information;
  • Greets visitors and maintains Visitor Sign in Log;
  • Completes forms and assists with Human Resource function;
  • Assists with Health & Safety programs and recordkeeping.
  • Preparation of various paperwork, including but not limited to invoices
  • Corresponds with customers via email and provides basic information
