QUALIFICATIONS / EXPERIENCE / SKILLS
Qualifications:
- Bachelor’s Degree in Business Administration, Office Management, or in a related field.
Skills & Abilities:
- Proven experience as an Administrative Officer or similar role in a construction or design company is preferred.
- Strong organizational and multitasking skills with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Attention to detail and accuracy in work.
- Ability to work independently and collaboratively in a team environment.
- Knowledge of basic accounting principles is an advantage.
- Ability to adapt to a fast-paced and dynamic work environment.
Responsibilities:
- Manage office operations: Oversee daily administrative activities such as managing office supplies, handling incoming and outgoing correspondence, and maintaining office equipment.
- Coordinate meetings and appointments: Schedule and organize meetings, appointments, and conferences for team members. Prepare meeting agendas, take minutes, and follow up on action items as needed.
- Assist with financial tasks: Assist in managing petty cash, processing invoices, and maintaining financial records. Collaborate with the finance department to ensure accurate budgeting and financial reporting.
- Maintain office efficiency: Identify areas for improvement in office processes and implement solutions to streamline workflow and enhance efficiency.
- Support project management: Assist project managers with administrative tasks related to project coordination, documentation, and reporting.
- Assist with HR tasks: Support the HR department in various tasks such as maintaining employee records, coordinating recruitment processes, and assisting with onboarding new employees.
- Respond to emails, and relay messages to the appropriate team members.
- Handle renewal of statutory documents for the company.
- Ensure compliance: Maintain awareness of company policies, procedures, and regulations. Ensure compliance with legal and regulatory requirements
- Communication: Act as a point of contact for internal and external stakeholders.
