The Administrative Receptionist will play a crucial role in the long-term success of our visitor and employee experience by providing outstanding office support at our largest and most customer facing office in Europe. What you’ll be doing:

  • Greeting visitors from around the globe, acting as “CEO” responsible for first impressions for internal and external contacts entering our office.
  • Organizing and coordinating conference room scheduling, room resourcing, room reservations and special conference room projects.
  • Assisting with New Hire orientation by providing the employee experience and help settling into the room.
  • Ensure visitors are made comfortable and kept informed of the status of their visit
  • Assisting with events, projects and service requests as needed and ensure it runs as planned
  • Taking and ensuring messages are passed to the appropriate staff member in time, handling incoming and outgoing mail distribution, reception, and office main telephone line response
  • Handling all visitor pre-registration requests and ensure compliances are met and aligned with our security measures and requirements
  • Handling security badge inventory, information, and reordering supplies

What we need to see:

  • Relevant education (hospitality) and 2+ years of experience as Receptionist at an international company
  • Good command of the English and German language
  • Perform in various reception, hospitality and administrative related tasks
  • Driven and pro-active with the ability to be responsible for tasks from start to finish
  • Excellent Microsoft Office Skills
  • Good knowledge of customer relations
  • Good telephone communication etiquette
  • Accountable, humble, helpful and approachable
  • Flexible and able to work in a fast-paced environment
